Case study

LiquidLipo

How LiquidLipo stopped unpaid access, reduced daily admin, and improved client accountability using a simple back office system.

The situation

LiquidLipo was struggling with the day to day admin that comes with running client programmes.

Clients were downloading learning materials. The owner was manually dealing with Zoom reminders and alerts, plus the client and owner work schedule.

Keeping track of payments was hard to stay on top of. Some non payments were slipping through simply because the owner was too busy to check.

That created two problems. Revenue leakage, and time spent on clients who were not keeping up with the requirements.

Who this is for

  • You deliver a service with learning material, reminders, and client follow ups
  • Payments and access are not properly linked
  • Checking is manual and gets skipped when busy
  • You want a simple system that removes daily admin

What we built

We set up a back office system that gave the owner a clear view of what was happening without needing daily manual checking.

  • Access control linked to payments. Clients were restricted from accessing materials until they made their monthly payment.
  • Engagement visibility. The owner could see whether people had played the material and whether they were engaging with the requirements.
  • Automation to remove the daily workload. Reminders and checks were reduced so the owner was not stuck doing repetitive work every day.

What changed

  • Client accountability improved
  • Owner workload reduced
  • Payments stopped slipping through
  • Client transformations improved which increased reviews and consistency
  • Work life balance improved

Cost comparison

Hiring a full time assistant that the owner would need to manage would have been around 3000 per month.

The Fractional Digital Partner service was 1750 per month for 8 hours per week.

So the business avoided a bigger fixed cost, while getting the system built and automated.

Want the same outcome

If your business is held together by messages, spreadsheets, and good intentions, you do not need more tools.

You need one simple system that everyone actually uses.
