The 4 hours a week you spend pulling numbers into spreadsheets

Ask small business owners how they report and a familiar picture emerges: four or five hours a week copying numbers out of the accounts package, the job system and a couple of spreadsheets into one master sheet, which is out of date by the time anyone reads it. The reporting becomes a job in itself, and worse, nobody quite trusts the result because two copies of the same number never agree.

This template fixes the structure half of that problem. One data tab, one row per month, a dashboard that never needs rebuilding. For a lot of businesses that is genuinely enough, and it is the right place to start because it forces you to decide which numbers matter.

The other half of the problem is the copying itself, and a spreadsheet cannot fix that. What KPIs should a small business track?

Eight cover most small businesses: revenue, profit, cash balance at month end, new customers, jobs completed, on-time delivery percentage, debtor days and quote win rate. The rule of thumb: if a KPI cannot change a decision you make this month, stop reporting it. The template tracks the first six directly and the guide tab explains where the other two come from.

How do I build a KPI dashboard in Excel?

Keep the data and the dashboard separate. Put one row per month on a data tab with a column per KPI, then build the dashboard entirely from lookups against that tab. That way updating the dashboard is just adding one row of numbers a month. This free template has that structure, the comparisons and the charts already built.

How does the month vs last year comparison work?

You set the current month in one cell and the dashboard looks up that month, the month before and the same month a year earlier from the Data tab, then shows the change with up and down arrows. Comparing against the same month last year matters because most small businesses are seasonal, and last month alone can mislead you.

When should I move from an Excel dashboard to Power BI?

When the copying becomes the job. If the monthly numbers already live in other systems (accounts, job management, CRM) and someone spends hours re-typing them into a spreadsheet, Power BI can pull from those sources directly, refresh itself and keep one version of the truth. The Excel dashboard is the right tool while one person can update it in ten minutes a month.

Does this KPI dashboard template work in Google Sheets?

Yes. It only uses portable functions (VLOOKUP, DATE, YEAR and MONTH), so the comparisons all work after uploading to Google Drive. The line charts and arrow icons carry over but may render with slightly different styling in Google Sheets.
